2019 Coaches Information


The Team Check-In Process was streamlined last year! And it went farily smoothly, thank you for being prepared at Check-In!
Come organized and prepared and it will go quickly again this year!

In order to continue this streamlined process, we strongly encourage your players to attend "Opening Day," and participate in all of the events that we and our Sponsors spend so much time preparing for them. Opening Day is all about the PLAYERS having fun and enjoying the Greatest Game in a way that they don't get to experience it other than at our World Series!

What is Required PRIOR to Check-In:

  • All players who will be playing on your team during the AAYBA Texas World Series must be listed on your official online AAYBA World Series roster and each of those players' guardians must have the online roster waiver completed before the following cut off dates:
  • Week One - Rosters and Waivers Must be Completed by June 7th, 2019.
  • Week Two - Rosters and Waivers Must be Completed by June 12th, 2019.
  • There are NO EXCEPTIONS. If a player is not on your roster by these dates they may not play in the Wislon AAYBA Texas World Series Tournament or the Louisville Slugger Wood Bat NAtional Championship.

Please note that Tournament Directors will be randomly be checking rosters throughout the week (each day, at all venues).

What is Required AT Team Check-In:
To keep the process moving efficiently, please approach the Check-In Table with all of the teams/players paperwork ready, and please have all paperwork fully organized.

  1. A copy of each player's birth certificate MUST be given to the tournament staff at Check-In (we will destroy these copies at the conclusion of the tournament). All teams must present "copies" of birth certificates for each player on your official World Series/Wood Bat National Championship roster. Be aware that if an age challenge or roster challenge occurs, you will be responsible to present an original birth certificate on site. Failure to do so will result in the player being deemed ineligible. It is the Coaches responsibility to to produce the original B/C if protested.
  2. Proof of insurance listing AAYBA as an additional insured.
  3. A liability waiver form for each player must have been completed online in advance (as referenced above by the respective date for tournament play). You must then have the parents sign the printed version and bring that to team check-in (do NOT mail in advance, bring signed waivers to team check-in). Any player without a completed waiver will be ineligible to participate in the tournament. These Forms WILL NOT be provided at check-in. Make sure all players are registered in advance and have completed the waiver and are in the system by the cutoff dates listed above. Again, you must complete the Liability Waiver Form online, by the dates referenced above, and then have the parents sign the form and bring that form to team check-in.
  4. Your team's "Friends and Family" admission fee. This fee must be paid as a single payment per team and must be paid in cash (NO CHECKS) or may be paid by Credit Card. Credit card transactions will be accepted for TEAM PAYMENTS ONLY AND WILL BE ACCESSED A CONVENIENCE FEE OF $2 per rostered player. Parents with multiple children playing the "same week" will only need to pay once. {In this situation the family should pay the rostered player fee with the FIRST TEAM that checks-in on Saturday, this way, it can be easily verified by tournament staff.}
  5. The Emergency Contact and Hotel Information Form will be completed elctronically at team check-in.

Where is Team Check-In:

Team Check-In will be located under the Main Baseball Pavilion at Bakersfield Park (overlooking Field 3).

  • Team Check-In is open any time between 9:00 AM and 2:00 PM on Opening Day (Saturday).
  • Team Check-In will be on a first come, first served, and has been greatly streamlined!

We strongly recommend checking in early then letting the kids enjoy the day via:

  • Pin Trading & Dinger Baseball Card Trading;
  • Competing in the various Skills Challenges;
  • Tailgating;
  • Visiting the various Sponsor and Vendors tents; and
  • Taking part in the Parade of Teams and Opening Ceremonies which concludes with the "World Series and Wood Bat National Championship traditional hat toss".

Friends and Family Pass:

The "Per Person" Gate Fee is Gone: Admission for the Texas World Series/Wood Bat NAtional Championship in Flower Mound, Texas is $65 per rostered player. (This is different from the $40 per adult that we previously charged and represents a substantial savings to your families). The admissions fee per rostered player covers anybody traveling with the team, parents, grandparents, siblings, relatives, friends, neighbors, etc. The admissions fee is required for all players playing in the AAYBA Texas World Series regardless of number of games played, etc. Tournament Directors and Site Directors, at all locations, will be checking rosters daily. All admissions fees must be paid prior to the start of the tournament, and any failure to do so will result in (i) the unpaid player(s) being removed from the tournament, (ii) the current/upcoming game being forfeited, and (iii) the coach/manager suspended for the 3 games. A second violation suspends the team from the tournament.


AWARDS - Wilson AAYBA Texas World Series

Individual RING Awards for rostered players will be given to the 1st and 2nd place teams in each level of play (Platinum, Diamond, Gold, Silver, etc.)

Team "Belt Buckle" Award for the Head Coach will be given to the 1st and 2nd place teams in Platinum. 1st and 2nd place Plaques will be given to the Head Coach in other divisions (Diamond, Gold, Silver). 3rd place teams in each level of play (Platinum, Diamond, Gold, Silver, etc.) will receive a team award for the Head Coach.

AWARDS - Louisville Slugger Wood Bat National Championship:

Individual RING Awards for rostered players, and a Team "Belt Buckle" Award for the Head Coach, will be given to the 1st and 2nd place teams in the Platinum & Diamond divisions. IN ADDITION, the PLAYERS on the PLATINUM LEVEL CHAMPIONSHIP TEAM will also receive a Custom Engraved Louisville Slugger Award Bat. All 3rd place teams in the Platinum & Diamond divisions will receive team plaques for the Head Coach.

Coaches Meeting:
The Mandatory Coaches Meeting immediately follows the Parade of Teams/Opening Ceremonies.

Coaches Meeting Immediately Follows the Parade of Teams & Opening Ceremonies so that all coaches may attend those events with their teams!

  • The Harmon High School Campus sits on the corner of Duncan Lane and Round Grove Road (3040). It less than 1/2 of a mile from Bakersfield Park north on Duncan Lane.
  • The Mandatory Coaches Meeting will be held in the cafeteria.

Coaches are required to sign in and attend the meeting (maximum of two coaches per team).

Please read carefully

  • Only TWO coaches per team (max) may attend the meeting as we are limited on space.
  • At least one coach from every team MUST attend the Mandatory Coaches Meeting (there are no exceptions)

Game Balls:

All teams must supply two new game balls per game. Any "quality" brand is fine (Rawlings, Diamond, Wilson, etc.). Wilson is the Official Game Ball of the World Series. Teams will supplement new game balls during the game with quality game ready baseballs.

Tournament will have WILSON A1030 Game Balls on sale for just $45.00 per dozen.
